The federal government now requires W-2s to be filed electronically by January 31 for those organizations that have at least 250 forms, starting with the 2016 forms that will be due on January 31, 2017. The previous electronic filing deadline was March 31. Many states are following suit and have enacted earlier W-2 deadlines as well, requiring forms to be submitted electronically or via magnetic media. See the chart below for the affected states and the related deadlines, and be aware that some states require electronic filing for as few as 25 Forms W-2. Refer to your state’s tax department website for specific regulations and instructions.
